Upcoming Travel Policy Changes- What You Need to Know- University Wide Town Hall

You are invited to attend a University-wide informational town hall to review upcoming changes to the University travel policy that will become effective February 1, 2026.

This session will be a one-way presentation designed to clearly and efficiently walk through the policy updates. During the meeting, presenters will review the presentation slide by slide, highlighting key changes and expectations. The presentation materials are available in advance at Changes in Travel Policy, and attendees are strongly encouraged to review the presentation prior to the town hall to help maximize the understanding of the updates. 

To ensure the presentation stays on schedule and all material is covered, participants will not be able to ask questions verbally or receive live responses during the session. However, attendees are welcome to submit questions via the chat feature throughout the presentation. All submitted questions will be collected, reviewed, and addressed in a written Q&A that will be posted following the town hall.

Important Update: Revised University Travel Policy and Procedures

Dear Colleagues, 

We are pleased to announce that the University has finalized a revised Travel Policy that will become effective on 2/1/26 

This revision includes several important and impactful changes that all employees should review carefully. 

All University employees who travel on behalf of the University are expected to review and comply with the revised policy and procedures.

To ensure clarity, understanding and help with compliance, we are in the process of arranging virtual meetings to communicate the changes to our travel policies and procedures, as well as to address any questions you may have regarding these updates. Please check www.travel.uconn.edu for future updates.  In the meantime, if you have any questions or need assistance understanding the revisions, please contact the travel office at travel@uconn.edu 

CBS/Pro-Card Report Reminders for Year-End

All Pro-Card transactions with a posting date of June 13 and prior will be considered FY25 transactions. There will be a shortened June CBS report, with an end date of 6/13/25, which will include transactions with the posting date of May 24th – June13th only.  The June report must be submitted by the cardholder and approved by the appropriate fiscal officer no later than June 23, 2025.  You can continue to reallocate and attach supporting documentation to the transactions as they come into Concur.  However, please remember, the July CBS report will have a longer time period and will include the posting dates of June 14th – July 23rd  and cannot be submitted until July 26th.  All transactions on the July statement will be considered FY26.

UK Electronic Travel Authorisation

Effective immediately, travelers who do not need a visa to enter the United Kingdom will need to obtain an Electronic Travel Authorisation (ETA) before their visit.

Currently, ‘non-visa nationals,’ including EU and US citizens, can travel to the UK without a visa for stays of up to six months. However, under the new system introduced by the Home Office, visitors will need to apply for and pay for an ETA before traveling.

Key points to note:

  • The UK Electronic Travel Authorisation (ETA) is an advance travel permission required for foreign nationals visiting or transiting the UK without a visa. The ETA costs £10 and allows multiple trips to the UK.
  • Eligible non-Europeans can apply from 27 November 2024 and will require an ETA to travel from 8 January 2025.
  • Eligible Europeans can apply from 5 March 2025 and will need an ETA to travel from 2 April 2025.

Concur Open Labs

Employee Travel Card Request to go Live in Kuali Build on 6/10

The Employee Travel Card Request Form will be migrating out of Leap and into Kuali Build. The link will be updated on Monday 6/10. The form and its features will stay the same, but it will now be submitted and approved within Kuali Build. Though the process is the same, please review the items below as the setup is a little different:

-Most sections will auto populate, but you must start at the top of the form and fill out all required fields marked with an asterisk.

-To check the status of your form once submitted, there is a toggle button in the top left corner of the form. If you switch it from Review to Status, you can see where the form is currently and review any comments from approvers. Only the cardholder can check the status of the form.

-Processing times are still the same. Once your form is fully approved and processed, your card will arrive at our office in 7-10 days and you will be notified. Please plan accordingly. Increase requests, once fully approved, are effective immediately.

New Student Travel Card Request Process

In an effort to streamline and simplify the process for obtaining a Student Travel Card, the card request form will now be submitted in Kuali Build. This will remove the two step process currently in place that requires a request to be submitted, and then an email sent with the training and request form. This change will take place on Friday December 22nd and the directions on our website will be updated accordingly. As always, our Travel and Card Service Center is here to help if you need additional assistance.
